Summary:

Reporting to the Commercial Operations Manager SEA, the primary responsibilities of the operations support specialist will be to work with cross-functional teams in SEA markets, to drive improvements across operations process and monitoring, distributor contracting processes and KPI management, as well as help enhance Health Care compliance (HCC) processes and controls across the region.

 

This person will work with local and SEA leadership in operations support; as well as local legal and procurement teams, to convey and review the business specific requirements in distributor and customer contracts and will work to enhance performance monitoring tools against contractual KPI’s. Additionally, this person will work closely together with local HCC and commercial teams to improve and implement Health Care Compliance processes and controls, such as sample/free goods monitoring as well as HCP (Healthcare Professional) interactions around Fee-For-Service and Educational Grant transactions.

 

Key Stakeholders

·       Country leadership team for Surgical Vision SEA markets

·       SEA Legal and HCC teams

·       SEA Finance, procurement, and tax teams

 

Major Duties & Responsibilities

 

Operations Support

·       Monitor end-to-end process on quarterly samples, bundle deal, free goods and demo equipment trackers in collaboration with local markets

·       Support SEA operations manager and Commercial Director with regular operations activities as required including organising local operations review meetings, data support, etc.

 

Health Care Compliance Processes and Controls

·       Improve and implement Health Care Compliance processes and controls

·       Process Change management and communication with the cross functions team (commercial, tax, HCC, legal)

·       Support SEA team for HCC audits and data requests.

·       Commercial representative in audit findings and mitigation plan discussions.

·       Implementation lead for mitigation, control and monitor improvement plans.

 

Distributor Performance Management

·       Tracking of Distributor performance against contractual KPI’s.

·       Support performance discussions and recommend improvements in case of underperformance.

·       Review distributor processes and collaborate with the cross functions team (commercial, tax, HCC, legal etc) to ensure ongoing and robust compliance environment.

 

Distributor change process (RFP) and Contract Management

·       Monitoring of contractual end-dates and initiating renewal or RFP process.

·       Representing Commercial team in RFP Procurement process i.e. collecting RFP requirements.

·       Support business negotiations with customers or distributors as needed.

·       Providing local legal teams with contract templates and business specific requirements.

·       Review contracts (e.g. distributor agreements, deal agreements) and liaise closely with cross function teams to ensure compliance (Tax, Legal, HCC etc).

·       Primary project manager for distributor transition (license and stocks transfer, commercial process SOP establishment etc..)  

 

Requirements

·       Bachelor degree or equivalent (in Business, Supply Chain, Engineering or Finance).

·       Minimum 5 years of experience in finance, operations, and/or procurement field. Any legal experience will be a plus.

·       Demonstrated ability to influence business partners with fact-based data.

·       Advanced computer literacy (Powerpoint, Excel, etc.)

·       Team player across levels, functions, and reporting lines
