Objective
The SEA Executive Administrative Assistant, reporting to the Market Access Head SEA will also be accountable fulfilling her roles and responsibilities as outlined below for the Head of Medical Affairs and the Head of Strategic Marketing & Commercial Excellence. They will be expected to coordinate and prioritize with limited support from three heads. It is expected that support travel booking, meeting arrangement support will also be provided to selected members of the three functions on an as per needed basis. Strong problem-solving skills, ability to anticipate, solution oriented, coordination excellence and willingness to go above and beyond are key attributes for a successful candidate.
Responsibilities
Provide every aspect of secretarial & administrative support to assigned leaders / teams / functions
Assist with travel arrangements (including but not limited to: flight and hotel reservations, travel visa and visa letter preparation, car rental / ground transport arrangement)
Meetings arrangement
Video and teleconference arrangement
Expense claims submission and tracking
Preparation / collation of presentation and meeting materials
Calendar management
Shared admin duties
Coordinate and organize events
Visitors’ hospitality
Support the onboarding process for new hires and separation clearance process for leavers
Coordinate and follow up on PO creation as well as invoices / payment processing
Support ad-hoc tasks as
assigned
Background (qualifications, experience and skill requirements)
· Degree in any field with at least 5 years of secretarial working experience
· Able to support multiple bosses with diverse personalities & demands
· Resourceful with proven ability to multi-task
· Independent and yet a team player as all of our secretaries are expected to help during company events / when the need arises
