Regional Administrative Duties:

 

·        Handle Singapore daily operational & sales support tasks, daily sales reports updates, inventory report

·        Marketing admin support

·        Provide secretarial and general administrative support to the Associate Commercial Director including calendar management, expense claims reimbursement, mailing, faxing, filing and travel arrangement.

·        Prepare meeting agenda/information/documents, presentation materials and record minutes of meeting as necessary.

·        Facilitate smooth and accurate communication between internal and external parties, screening and responding to incoming correspondence, inquiries and phone call as required.

·        Implement and maintain departmental document control procedures including distribution and tracking of documentation internally/externally.

·        Support the monthly purchase order from countries, and update the forecast system as needed

Regional Distributors Support Duties :

·        Prepare payment requisition, raise purchase order, ensuring all documentation fits policy and supports the payment (KOLs honorarium / Sponsorship) including follow-up on payment status.

·        Submit monthly invoices payment for Thailand & Vietnam) / year end accruals

·        Submit Yearly 1% goods reimbursement for Distributors in Vietnam and Indonesia where applicable

·        Submission of quarterly distributor achievement rebate / promo expense where applicable.

·        Monthly forecast submission – (Thailand, Vietnam, Indonesia, Philippines, Myanmar)

·        Onboarding new hire - create WWID/ raise IRIS ticket for IT devices

·        Update or/and deleting  employee’s account after termination/resignation .

·        Requisite business cards for new hires / teams and  mobile & ipad Commex S/W renewal.

·        Prepares no charge, price override request, credit note request, pricing request and CMF forms.

·        Liaise with supplier for quotation, price, and design issues, for greetings, invitation cards & marketing promotional materials in Singapore.

·        General administrative duties, generate monthly sales reports, pricing list, filing system, promotional expenses tracking.

·        Purchase requisition (e.g. Indonesia material translation service / distributor marketing materials) including pack and arrange for delivery upon materials arrival. 

·        Due diligence / update profile) as required, for new or renewal of distributor. (Thailand, Vietnam, Indonesia, Philippines, Myanmar)

·        Provide general administrative support to Associate Commercial Director and her team

·        Performing day-to-day operational activities supporting Singapore market, and any ad-hoc duties that may be assigned as and when required.

 

Requirement:

·        Diploma/ Degree in any field, with 2-3 years of experience for general clerical/administrative duties/sales coordination related experience

·        Good working knowledge of Microsoft Office Suite, including Word, Powerpoint and Excel

·        Comfortable in multitasking and handling multiple requests from different individuals and departments

·        Highly organized with attention to details.
